I wouldn't expect any out of town guests to bring potluck dishes.. regardless of whether they "get" that its a potluck party that just doesn't seem fair or logical. I'm with your DH, just get the hamburgers.

I agree with your husband and others who say to provide food. Honestly, I can't imagine asking/relying on guests to bring the main food to any party I hosted, *especially* one in my honor. Burgers and sides are not that pricey for 50 people - youve been pretty open on other threads that you are not exactly living paycheck to paycheck...it just seems easier and like less stress to plan to do it yourselves. If you want to farm out buns and condiments to family, that's cool, but we're only talking about like $40 tops so it's not like you save a ton of money and in exchange you'll have to wonder if there will be enough of everything, instead of knowing it's done and set for sure.

If you host a party around a meal time, especially if a lot of people will be traveling to honor you, I think *you* should provide more than desserts. But, maybe that's just me, I've never attended or hosted a party that relied on the guests to supply the bulk of food or drinks.

I would also expect to get gifts - it's a baby celebration, people celebrate with gifts (even when told not to)!

Guests bringing food to any celebration (going away parties, graduation, baby showers, church gatherings) is standard in my family and friend group. I always get just the basics and trust that the guests will being something because it's always stated on the invite to bring a snack to share. It's also very common in my family/friend group to ask what to bring, if the invite doesn't say anything.

So I would provide the sweets, drinks, and paper goods, but ask family to help with the food.

@blackbird: I wouldn't ask friends, but my family would be more upset if I didn't ask and I needed help, knowing them. :) Plus we said to bring finger foods in the invite, which is normal for this sort of get together in my experience, since it's really not a formal shower (and we did specify no gifts, if anyone listens). ETA- And I'm thinking along the lines of asking family to bring the condiments, buns, etc, and we'll provide the meat. So nothing costly

You should provide real food...I wouldn't feel comfortable asking people to bring food to a party that *I* was hosting, though. But you need more than junk food if the party will encroach on the dinner hour

@deerylou: I didn't specify, so you didn't miss it! It's at 3, because to do a half-day at the location it has to either start or end at 3, and I wanted the time to finish things up and set up. Plus the out of towners will have time to drive. But it means pushing into dinner time, since I doubt most people will leave before 5. So it's a little ambiguous but I'd kind of expect people to be hungry.

@Torchwood: Ah, gotcha. I think I missed the theme. I think the perception and need for "real" food depends on the time of your party. If it's clearly between meals, perhaps your guests will come fed and ready for dessert, not expecting a huge spread.

@deerylou: I like asking family to help. They'll be willing I'm sure. I would cut some sweets, but it's literally a sweets themed party, so the food is also decor. And since I love baking, I would be sad. :)

I think I'm with your husband, on this one. It sounds like you're making a lot of sweets; perhaps you can nix a few dessert options and transfer those costs to supplying burgers/dogs/soda? Cookies stack and transport well, and the rest of the lunch grub can be simply transferred in a cooler.

Another option is to ask immediate family and very close friends to contribute a dish, to share. They may very well be willing to help. This way your distant relatives and more casual friends are off the hook and can just focus on traveling and celebrating.

my friend transported my DD's first birthday cupcakes in bankers boxes we had about 50 cupcakes. they came unscathed. they were decorated and bagged before hand and they placed them into the boxes and transported them over an hour away to the location of the party.

@Mrs. Pickle: It's at 3. So it won't start at meal time, but it will run in to it.

@Mamaof2: Um, we might, now that you mention it. I know we've used one camping, and I'm pretty sure it was ours, not the friend's we were with. Good idea!

@mrs.shinerbock: They have gallons of tea at the grocery store. I was thinking we needed to do individual drinks (like cans or bottles) to keep them cold, but if we have enough ice that would work as well. Definitely cheaper.

@ShootingStar: Yeah, I know that, but a good chunk of the invites were to family members that we sort of had to invite out of courtesy, but never thought would drive the 4 hours to come! One person I don't even know why I invited (college roommate that I haven't seen in 10 years; I think I clicked her name by accident), and she's possibly driving from GA! (We're in TN.) I appreciate the love/support, but it's overwhelming.

@looch: That's what I plan on doing. My best friend is going to be there helping with set up, and she used to decorate cakes, so if I can't get to it, she can.

@Banana330: That's a really good idea. I wonder if DH has any at work.

I think we'll have to figure out something for dinner-y food. Since DH is the one who worries about money, and he's the one who wants to, hopefully it won't be a big deal. I just didn't want him stressing about the cost since I was the one who wanted to do the party originally. But I've cut way back on the decorations since the venue change won't work for most of it, so it should balance out at least somewhat.

You may want to consider at trip to Sams Club! Cupcakes are 30 for $15, grab a few bags of their huge tortilla chips and salsa and some frozen hamburger patties and hot dogs. Icing cupcakes that day sounds like a frantic mess. You could still do cake pops and stick them in styrofoam and cookies are easy to do the day before.

The biggest thing with parties like this is to remember your sanity comes first over saving a few dollars. Nothing is worse than guests showing up and your aren't ready for them.

I feel like if you host a party at a typical meal time, you're on the hook for providing a meal. Feeding 50-60 people can be expensive, but usually that's a consideration when composing the guest list.

I usually just pack the un-iced cupcakes in ziplocks or plastic containers and use a piece of wax paper between the layers. I agree with PP about the foam blocks for the cake pops.

I think you should provide enough drinks for everyone, but wouldn't worry about more substantial food. You can buy gallon jugs of tea at almost any BBQ joint around where I live. Or serve lemonade.

For the cake pops, definitely stick them in foam blocks. I transported cake pops from Philly to Hershey (about 1.5 hour drive) that way and they survived just fine! For the cupcakes, if you're going to stack them, put a sheet of wax paper between the layers - that way the cake won't stick to the wrapper.

We're hosting a sort of "baby celebration" (not a shower, since we just got all the stuff we needed last year, but a chance to celebrate this baby) in a couple of weeks, and we just had to change the location from our house to a park because so many people are coming.

I'm doing all the sweets- cupcakes, cookies, and cake pops. But I'm nervous about trying to transport all of it, since it has to be enough for 50-60 people. I plan to ice the cupcakes on site, so I can stack them in whatever container(s) I use, but I'm still not sure how to do it. My cupcake carrier won't hold anywhere close to enough. And I have even less of a clue how to transport cake pops safely. This was a lot easier when it was going to be at our house!

Also, I said on the invites that we were providing sweets, and requested finger foods and/or drinks from guests. DH thinks we should still provide hamburgers and hotdogs and cokes, etc. But with so many people, that's going to be expensive! I was thinking we could just have chips and dip on hand, and water, and *maybe* a 20 pack or two of cokes. What do you think? In my experience, here in the South at least, people always bring a ton to these sorts of things. But a good handful of the guests are coming from out of town, so I would assume they won't. I'm getting overwhelmed here!
