I agree with @looch:. That's going to HR would be too far at this point, but talking to upper management to clarfiy would be warranted. They can't essentially punish you for taking earned time off, so you need clarification on what's more important, time on the phone, or clearing the indexing queue, because obviously you can't do both at the same time.

I think the way that @Mr.Bee phrased it is the perfect way to approach it. You aren't questioning your supervisor's policy, you are just trying to be a better employee and get tips.

I woukd definitely seek clarification. I used to work in an industry where they tracked time on the phone and # of calls as part of our KPIs. Could it be related to something like that? Has it ever been measured before like that?

@MarieJ: What I would do, is the following:

Call the office of the supervisor (the guy that is not available a lot because of travel) and speak to his admin (assuming he has one). Say you have an issue that needs clarification regarding a policy and that you would like to set up time on his calendar to discuss. The admin should be able to accomodate you, I've done this a lot when I need to contact very senior level people that travel a lot.

If there is no admin, you can look up the calendar in Outlook (or similar) and schedule a call yourself, with you and your supervisor on the phone. In the meeting details, write out what the issue is and what the proposal is, asking for claification on how you're suppsosed to handle the 4 hours where you are not indexing but making up time.

If you get no response, THEN contact HR.

Good luck, I hope you get the answers you need!

@MarieJ: that's a super valid concern! I might ask your supervisor for their advice on how to balance the extra hours of phone work with the quotas for the other work. Hopefully they can clarify which one takes priority because it's not possible to do both!

We have expressed this concern to the supervisor. She just responded" It's just how we do things". That's not true because we are the only site out of three being forced to do this, so I felt HR is the next step.

It means you spend the entire day on the phone, not staying past your scheduled off time, but it impacts our numbers as well because they are also expecting us to process a certain number of documents at the end of each week which is impossible to do if you are on the phone the entire day making up hours missed for vacation days.

I'd absolutely approach this as needing clarity on the new policy. To me, if you are out for PTO, you're off and shouldn't need to make up the time. Also, why would they want to pay you twice (once for the days off, again when you are making the calls)?

I would definitely clarify -- whether with your supervisor first or with HR. I think the main thing is they should not be able to have you work EXTRA hours when you take time off...that defeats the purpose of paid time off. But maybe they mean you just have to structure a few days differently to "make up for" that time? Either way, sounds wonky. Hope you get it figured out!

@MarieJ: I would simply ask the question to your supervisor, if you are out on Monday, are you supposed to spend 8 hours taking calls on Tuesday? If so, who is supposed to take over the 4 hours of indexing documents while you are taking calls?

I know it is difficult to leave your emotion out of it, but going to HR would be kind of overkill, at least in my firm. If you don't at least know that information, you're not going to HR with the whole picture anyway. But I know in these kinds of threads, we're suppsoed to agree with the OP...soooo....you have to do what you think is right

@MarieJ: I think what we're trying to determine is… say you work 9-5 and you usually spend 9-1 on the phone and 1-5 processing documents. Does making up phone time mean that the next 2 days you spend 9-5 on the phone then go home? Or does it mean you have to stay at work late/early so you're actually AT work for 8 more hours?

@MamaMoose: No, I'm not. We spend 4 hours a day talking to branches about forms being sent in, questions about types of accounts etc. The other 4 hours we spend processing documents in different queues.

@mrbee: For example, if I took a vacation day today and tomorrow. When I come back to work, I have to make up the 8 hours that I missed on the phone for being out those two days. Does that make sense?

I agree with @pelikila: and @LuLu Mom! Come at it from a stance of getting clarification of your PTO and how/when it can be used and when (if ever) time needs to be made up. And then maybe you can return to your supervisor and ask for clarification and state what your understanding of the PTO is (that you do not need to make up that time).

@MarieJ: ok, so you're on a call desk or something? I have done that job as well, but I would spend all day taking calls and making call outs as well.

If you do 4 hours daily, I would think it means that the next day, you have to do 8...which doesn't sound well thought through, especially because you probably have other stuff to do in those 4 hours. I'd ask your supervisor first ( I also work for a large financial services company and this would be something I'd go to the supervisor and their manager first, before HR).

If nothing else, maybe ask for the meeting to gain clarification on the benefits package because you have some confusion regarding PTO. That way you aren't potentially coming at it from the upset perspective (which I can totally understand) but from the request for guidance/explanation perspective.

I work in the financial industry for a pretty big company. I hate my job. It is micro management at it's finest. That's a different story for a different day.

Anyway, I am on the phone for 4 hours speaking to several branches, sales assistants and financial advisors. Just recently my supervisor has informed us that when we take a vacation or sick day, when we come back to work, we have to make that time up that we missed on the phone. How is that when we are using vacation and sick days? vacation days ar e just that, IMO and that time should not be made up.

I also want to add that we have three sites like this...my location and two others and we are the only location being forced to this. It's not in the handbook or anything and I think my supervisor is abusing her authority.

Is this worth a trip to HR or am I overreacting?
